Committee Policy

St. Ives Tabletop

1. Introduction

1.1 The St. Ives Tabletop group (henceforth referred to as the “Group”) is managed by a committee (henceforth referred to as the “Committee”).

2. Committee Responsibilities

2.1   The Committee are responsible for booking the venue.
2.2   The Committee are responsible for hosting the Group sessions. At least one Committee member must be present at all sessions. Hosting includes, but is not limited to:
  2.2.1 Greeting new attendees and explaining the Group and its activities.
  2.2.2 Collecting admission fees.
  2.2.3 Being responsible for the condition of the venue at the end of the session.
2.3   The Committee are responsible for managing the Group’s finances and assets.
2.4   The Committee are responsible for administering various digital tools and social media platform profiles associated with the Group.
2.5   The Committee are responsible for the financial risk of advance booking payments directly linked to Group activities. Any activities not directly organised by the Committee are not their responsibility, in particular with respect to any financial or legal responsibility.
2.6   Members of the Committee must participate in regular committee meetings.

3. Policy Documents

3.1 The Committee are responsible for approving the Group’s policies and determining any changes to them.
3.2 The Committee will review all policy documents at least annually.

4. Committee Membership

4.1 The Committee will comprise members of the Group.
4.2 The Committee will consist of at least three individuals.
4.3 These will be listed on the St. Ives Tabletop website.
4.4 Members of the Committee will share the above responsibilities.

5. Joining the Committee

5.1 The Committee will advertise for new members to accommodate growing demand (the Group expanding) or to replace members stepping down.
5.2 Applications will be submitted to the Committee to determine their suitability and acceptance of the responsibilities of the role.
5.3 In the event of multiple candidates, the Committee will determine the best method for appointing relevant appointments.
